Sales Administrator
Location: Owings Mills, MD
Type: Full Time

Job Summary: Provide administrative support to sales team, review order packets, scan and index sales orders, field  information requests, gathering meter readings and performing clerical functions such as preparing correspondence, distributing messages and calls, and scheduling meetings

Essential Functions:

  • Provide administrative and clerical support to sales representatives and sales managers
  • Review, prepare, scan and index sales orders into workflow system
  • Order packet issue resolution
  • Obtain buyouts and credit approvals as requested from sales team
  • Update activity tracker as required for sales management
  • Communicate with assigned Equipment Order Specialist multiple times on a weekly basis regarding the status of open Sales Orders
  • Participate in Open Order Review meetings as required
  • Prepare statistical reports as requested by management
  • Assist with the preparation of sales proposals and presentations
  • Create CAP/Quarterly/Annual Business Review’s as requested from sales team
  • Retrieve records from Administration Department as requested from sales team
  • Distribute leads to sales representatives according to company procedures
  • Run lease expiration reports
  • Operate telephone; screen and forward calls, provide information, take messages and schedule appointments, correspond with customers when necessary
  • Assist corporate headquarters on projects as requested
  • Greet visitors, respond to voicemail and email in a timely fashion and follow up as necessary
  • Prepare new hire stations with cubicle names and supplies
  • Help with open house events and product shows by greeting guests
  • Perform general office duties such as ordering supplies, organizing brochures and pamphlets
  • Turning televisions on and off in sales department / branch office each day and ensure monthly power point is running on TVs
  • Required Qualifications: (Knowledge, Skills, Abilities)
  • Clerical knowledge of administrative procedures and systems such as Microsoft Office, managing files and records, designing forms, and other office procedures
  • Customer and personal service; includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  • Time management skills; ability to organize and prioritize
  • Strong oral and written communication skills
  • Attention to detail; ability to produce accurate and timely reports
  • Professional and courteous demeanor

Required Education and Experience:

  • High school diploma; College Coursework a plus
  • 3+ years of administrative experience in a fast-paced sales environment
